Registration & Expo Volunteers
• What are my responsibilities?
There are different responsibilities for Registration and Health and Fitness Expo volunteers depending on the area you will be working:
– Race Packet Pick-Up Pre-Race Day
Volunteers staff tables to greet runners and distribute race packets. The volunteers serving in these positions are the runners, families and friends’ first impression of the event. Volunteers must ensure that each runner presents a signed waiver and shows a photo ID to pick up their race packet. If picking up for someone else, a letter of permission with a copy of the other runner’s ID must be presented in order to receive the other packet. Volunteers need to carefully cross-check the name on the bib with the photo I.D. to reduce the possibility of picking up the wrong bib. Volunteers should be ready to answer questions concerning race events or be able to point them in the right direction so that a member of the event staff can assist.
– Goodie Bag Distribution
Volunteers will hand out Goodie bags to all registered runners.
– T-shirt Distribution
Volunteers hand out T-shirts to all registered runners in accordance with event policy. All volunteers in this area must be aware of event policy regarding T-shirt exchanges (including trying on shirts) and what steps to follow if T-shirts are no longer available in the pre-registered size.
– Race Day Registration and Packet Pick-Up
Volunteers greet runners and distribute race packets at the start line to pre-registered runners. They also assist with race day registration. Volunteers must ensure that each runner presents a signed waiver and shows a photo ID to pick up their race packet. • What do I get for volunteering?
As a volunteer, you will receive quite a few benefits including: 1) Even if you are not running, you can still be a part of the fun! 2) A free Volunteer T-Shirt and commemorative challenge coin! 3) Snacks and drinks are provided during your shift.4) You get the satisfaction of helping others! 5) You’ll have a great time and meet new friends!
• Where do I park?
If you are working at the Point Center, parking is available in a lot across the street and in a large lot to the left of the Center (facing it). There is a walk of no more than 100yds from the lot to the building. If you are working at the race start on Saturday or Sunday, you can park in the William and Mary Parking Deck located on Kingston near the Business School. Get your parking pass here.
• What should I wear?
Please dress casually and comfortably. No clothes with holes or rips in them. Wear comfortable shoes.
• Will I be working indoors or outdoors?
Depending on the shift you signed up for, you may be working indoors at the Williamsburg Woodlands Conference Center (pre-race), or outdoors at Zable Stadium or Phi Beta Kappa Hall (race day). If working indoors at the “Woodlands”, it can get cool with the A/C so you may want to bring a light sweater or jacket.
• What happens if it rains?
If you’re working outdoors at Zable Stadium or PBK Hall, you will be inside the Registration tent. But, please make sure you dress appropriately in the event of inclement weather.
• What happens if it is blazing hot outside?
Please make sure you dress appropriately for the weather conditions. Water will be available.
• Can I bring a friend?
While we certainly don’t discourage additional helpers, it is important for all of our volunteers to register online (www.runforachievabledream.com/volunteers) prior to the event. If your friend(s) has not registered as a volunteer prior to the event, please do not bring him/her.
• Can I bring my kids?
We ask that you only bring high school age and older children so as not to interfere with your volunteer responsibilities.
• What do I do if there is a problem?
If at any time during your assignment you have a problem, please notify the Registration Team Captain immediately.
